Protecting Tracked Changes

Summary: Track Changes is a great tool for editors and collaborators to use when creating documents. An author, seeking changes from editors, may want to protect a document so that nobody else can accept or reject changes made in the document. This tip explains how that protection can be achieved. (This tip works with Microsoft Word 97, Word 2000, Word 2002, Word 2003, and Word 2007.)

There is a way that Track Changes can be locked so that only the original author can turn it off and a way that only the original author can accept/reject changes.  What you need to do is to protect the document so that only tracked changes can be made by other editors. The way you do this differs from one version of Word to another. If you are using Word 97 or Word 2000, follow these steps:

There is another option that may also fit the bill. This involves saving your document as a Word form, which can be easily protected. To accomplish this, follow these steps if you are using Word 97 or Word 2000:

  1. Choose Protect Document from the Tools menu. Word displays the Protect Document dialog box.
  2. Choose the Tracked Changes option.
  3. Enter a password at the bottom of the dialog box.
  4. Click on OK.
  5. When prompted, enter your password again.
  6. Save the file as normal.

If you are using Word 2002 or Word 2003, follow these steps:

  1. Choose Protect Document from the Tools menu. Word displays the Protect Document pane at the right of the document window.
  2. In the Editing Restrictions section of the pane, choose the Allow Only This Type of Editing in the Document checkbox. Word enables the drop-down list under the checkbox.
  3. Using the drop-down list, choose Tracked Changes.
  4. Click Yes, Start Enforcing Protection. Word displays the Start Enforcing Protection dialog box. (Click here to see a related figure.)
  5. Enter a password (twice) in the dialog box.
  6. Click on OK.
  7. Save the file as normal.

Finally, if you are using Word 2007, you should follow these steps:

  1. Display the Review tab of the ribbon.
  2. Click the Protect Document tool within the Protect group. Word displays the Protect Document pane at the right side of your document.
  3. In the Editing Restrictions section of the pane, choose the Allow Only This Type of Editing In the Document checkbox. Word enables the drop-down list under the checkbox.
  4. Using the drop-down list, choose Tracked Changes.
  5. Click Yes, Start Enforcing Protection. Word displays the Start Enforcing Protection dialog box.
  6. Enter a password (twice) in the dialog box.
  7. Click on OK.
  8. Save the file as normal.

With these protections in place, people can view and edit your document with the changes being shown as regular Track Changes edits. Further, nobody can accept or reject changes without knowing the original password used to protect the document.

There is, of course, a big caveat to all of this, and it bears repeating any time people start to talk about protection. In Word, document protection will only provide protection for those who decide to "play nice." There are ways around the protection—the most notable of which is that an editor can simply copy all of the text from the edited document into a new document and start passing around that new document as if it were the original document. There is, unfortunately, no way around such behavior with Word documents.

FootTubeI am all about home cooking. The hours often expire before I have a chance to really prepare a "meal", but nevertheless, cooking is fun to me and I wish I had more time to do it.
This is why I was pretty excited to see a new site emerge. The site FoodTube is what you'd think. It's a YouTube clone but it's twist is that it's all about cooking new dishes and experimenting with recipes. In fact, some of the tutorials are actually embedded from YouTube or from other cooking sites. Add the user submitted tutorials and you have a pretty comprehensive resource.
I can see this becoming a pretty large destination for wannabe cooks or for those simply wanting to eat a little healthier by cooking at home.

Tracking Santa, then and now

It was more than half a century ago, on Christmas Eve in 1955, that a Sears Roebuck & Co. store in Colorado Springs advertised a special hotline number for kids to call Santa. What the company didn't know at the time was that they had inadvertently misprinted the telephone number. Instead of Santa's workshop, the phone number put kids through to the North American Aerospace Defense Command (NORAD), the bi-national U.S.-Canadian military organization responsible for the aerospace defense of the U. S. and Canada. Worse, it wasn't just any number at NORAD: it was the commander-in-chief's operations hotline. In the spirit of the season, Colonel Harry Shoup, the director of operations at the time, had his staff check radar data for any indication of a sleigh making its way south from the North Pole. They found that indeed there were signs of Santa, and merrily gave the children who called an update on his location. Thus, a tradition was born, and NORAD has continued to help children track Santa on Christmas Eve ever since.
It just so happens that Colonel Shoup is my grandfather, which is why I'm so excited that, 52 years later, Google is joining the effort. This holiday season, NORAD has partnered with Google to use technology including Google Maps, Google Earth, iGoogle and YouTube to track Santa. I can remember tracking Santa with my grandfather as a child, and I'm so proud to see my company carry on his vision of doing something this special for kids around the world.
The countdown begins December 1st on NORAD's website, where families can find a new kid-friendly game or activity every day until December 24th. And starting at 1:00 am PST on December 24th, you'll be able to track Santa's trip in real time. You can download Google Earth and add the NORAD Tracks Santa iGoogle gadget to your iGoogle page anytime, but make sure to come back to noradsanta.org on December 24th to download the special Santa Tracking file for an enhanced 3D Santa-tracking experience.
